Reimbursement Procedures

If your student has transportation through their IEP and you have transported them to and from school due to a lack of transportation, you are entitled to seek mileage reimbursement at the prevailing state rate and/or taxi and rideshare costs for any trips between your home and the school. For example, if your child’s bus did not pick up your child for school and/or your child’s bus was not available to transport them home after school, you are encouraged to seek mileage reimbursement.
Effective July 01, 2022, the prevailing rate per mile is $0.625 per mile, as required in 603 CMR 28.07(6). Effective January 1, 2023, the reimbursement rate increased to $0.655. The reimbursement amount will be based on the rate at the time of the trip. Please follow the directions below to begin that process:

Create a new City of Boston Vendor account if you still need to get one from a previous transportation reimbursement, including ACH (Direct deposit to your Bank/see instructions).

If you are unable to create a City of Boston Vendor Account online, BPS accepts a W-9 which can be filled out and submitted to ood-invoices@bostonpublicschools.org. Individuals with no social security number or Tax ID can leave that box blank on the W-9 form.

In addition to the W-9 form, individuals seeking transportation reimbursement must complete this form and attach backup documentation, i.e., taxi or Uber/Lyft receipts and email it to ood-invoices@bostonpublicschools.org. To access the translated versions, visit our website by clicking here.

The rate of reimbursement will be based on the date of the trip as follows:

Before 7/01/2022 - $0.585 per mile

7/2/2022 - $0.625 per mile

1/1/2023 - $0.655 per mile
